Integration Requirements

Story Prefix: INT Feature Area: Integrations System Overview: university-reg-features.md

INT-001: Sync Student Financial Aid Data from External System

As an Administrator I want student financial aid awards to be automatically synchronized from the financial aid system So that billing balances reflect aid disbursements without manual data entry

Acceptance Criteria

  • The system performs a scheduled sync with the financial aid system at least once every 24 hours
  • Sync updates create, modify, or void aid entries on the student's billing account (PAY-005)
  • Sync failures are logged and an alert is sent to the Administrator within 1 hour of failure
  • A manual sync can be triggered by an Administrator at any time
  • Sync history (timestamp, records updated, errors) is viewable in the admin interface

INT-002: Sync Student Housing Data

As an Administrator I want student housing assignments to be synchronized from the housing management system So that the registration system has accurate residency information for fee calculation and emergency contact purposes

Acceptance Criteria

  • Housing data (room assignment, hall, move-in date) is synced daily from the housing system
  • Housing status is visible to Administrators and Advisors on the student profile
  • On-campus housing status is used to apply the correct fee schedule at billing time (PAY-001)
  • Sync failures are logged and alerted to the Administrator within 1 hour

INT-003: Sync Library Account/Access

As a Student I want my library account to be automatically provisioned when I enroll So that I have immediate access to library resources without a separate registration step

Acceptance Criteria

  • When a student completes their first course enrollment for a term, the system sends a provisioning request to the library system within 1 hour
  • When a student has no active enrollments (dropped all courses or graduated), a de-provisioning signal is sent to the library system
  • Sync status (provisioned / pending / failed) is visible to Administrators in the student profile
  • Failed provisioning requests are retried up to 3 times and then escalated to the Administrator via alert

INT-004: Expose REST API for Authorized Third-Party Integrations

As an Administrator I want the system to expose a documented REST API for authorized third-party consumers So that university systems and approved partners can integrate with registration data programmatically

Acceptance Criteria

  • The API follows RESTful conventions and returns JSON responses
  • Available endpoints include (at minimum): course catalogue (read), section enrollment counts (read), student enrollment status (read, scoped to the requesting consumer's authorization), and term calendar (read)
  • All endpoints require authentication (INT-005)
  • The API returns standard HTTP status codes (200, 201, 400, 401, 403, 404, 429, 500)
  • API documentation (OpenAPI 3.0 spec) is available to authorized consumers
  • Rate limiting is enforced per consumer (default: 1,000 requests per hour); consumers exceeding the limit receive a 429 response

INT-005: Authenticate API Consumers via OAuth 2.0

As an Administrator I want all API consumers to authenticate using OAuth 2.0 So that API access is controlled, auditable, and can be revoked without affecting user passwords

Acceptance Criteria

  • The system implements OAuth 2.0 Client Credentials flow for machine-to-machine API consumers
  • Administrators can create, view, and revoke API credentials (client ID + secret) for each authorized consumer
  • Access tokens expire after 1 hour; consumers must re-authenticate to obtain a new token
  • Each API consumer is assigned a defined scope (e.g., catalogue:read, enrollment:read) that limits the endpoints they can access
  • All API authentication events (token issuance, token validation failures, revocations) are logged in the audit trail (AUTH-010)
